How to Switch from POP to IMAP – Kingsley.co.za Email Setup

This guide will help you switch your email from POP (which downloads emails to one device) to IMAP (which keeps your emails synced across all your devices — like your computer, phone, and tablet).

By switching to IMAP, you’ll be able to:

  • See the same emails and folders on all your devices
  • Send and receive messages from anywhere
  • Keep your inbox organized and up to date everywhere

We’ll remove the old POP account and set up a new IMAP one to ensure everything syncs correctly.

???? Step 1: Back Up Your Current Emails (Recommended)

If your current POP account has emails stored only on your computer, back them up first.

In Outlook:

  1. Click File > Open & Export > Import/Export.
  2. Choose Export to a file > Outlook Data File (.pst).
  3. Select your email account and folders (like Inbox, Sent Items).
  4. Save the backup to your desktop or an external drive.

???? This ensures no emails are lost during the switch.

???? Step 2: Remove the Old POP Account

In Outlook:

  1. Go to File > Account Settings > Account Settings.
  2. Select your Kingsley email account (look for "POP" under "Account Type").
  3. Click Remove > Yes to confirm.
  4. Close the window.

???? Don’t worry — your emails are still on the server and will reappear when you add the IMAP account.

???? Step 3: Add the New IMAP Account

In Outlook:

  1. Go to File > Add Account.
  2. Enter your full email address (e.g. you@kingsley.co.za).
  3. Click Connect.
  4. If Outlook doesn’t auto-detect IMAP, choose Manual setup or additional server types > Next.
  5. Select IMAP > Next.
  6. Fill in the following:

Your Name: Your full name
Email Address: yourname@kingsley.co.za
Account Type: IMAP
Incoming mail server: mail.kingsley.co.za
Incoming port: 993
Incoming encryption: SSL/TLS

Outgoing mail server (SMTP): mail.kingsley.co.za
Outgoing port: 587
Outgoing encryption: STARTTLS (or SSL/TLS)

Username: yourname@kingsley.co.za
Password: [your password]

  1. Click Next.
  2. Outlook will test the settings. If successful, click Finish.

✅ You should now see your emails syncing.

???? Step 4: Set Up IMAP on Your Phone or Tablet

iPhone (iOS):

  1. Go to Settings > Mail > Accounts > Add Account > Other.
  2. Tap Add Mail Account.
  3. Enter:
    • Name: Your name
    • Email: yourname@kingsley.co.za
    • Password: [your password]
    • Description: “Kingsley IMAP”
  4. Tap Next.
  5. Tap IMAP.
  6. Enter:
    • Incoming Mail Server:
      • Host: mail.kingsley.co.za
      • Username: yourname@kingsley.co.za
      • Password: [your password]
      • Port: 993, Use SSL: Yes
    • Outgoing Mail Server:
      • Host: mail.kingsley.co.za
      • Username: yourname@kingsley.co.za
      • Password: [your password]
      • Port: 587, Use SSL: Yes
  7. Tap Next and wait for verification.
  8. Turn on Mail and tap Save.

Android:

  1. Open your email app (e.g., Gmail, Samsung Email).
  2. Choose Add Account > Other.
  3. Enter your email address and tap Manual Setup.
  4. Choose IMAP.
  5. Enter the same incoming/outgoing settings as above.
  6. Complete setup and give the account a name.

???? Step 5: Verify Everything Works

Check that: ✅ You can send and receive emails
✅ Your Inbox, Sent, and Drafts folders appear
✅ Emails appear on all your devices (computer, phone, tablet)

???? It may take a few minutes for everything to sync.

???? Step 6: (Optional) Move Old POP Emails to IMAP

If you have old emails from the POP account:

  1. In Outlook, open your backup (.pst file).
  2. Drag and drop emails into your IMAP account’s folders (e.g., Inbox, Sent Items).
  3. They will upload to the server and appear on all devices.

⚠️ Troubleshooting Tips

 

❌ Can't connect

Double-check server names and ports

❌ Password error

Make sure Caps Lock is off; retype password

❌ "Server requires encryption"

Ensure SSL/TLS (incoming) and STARTTLS (outgoing) are selected

❌ Emails not syncing

Wait a few minutes — large inboxes take time to sync
